DESCRIPTION
The Executive Assistant is responsible for answering and handling incoming calls that can include making decisions on high-profile customers, managing workflow process and various administrative duties. Additionally, this position handles the budgetary responsibility that includes the paying of vendor invoices and the forecasting of the monthly expenses.
 
Responsibilities include:

 

  • Budget Maintenance and Report Preparation
  • Timely preparation and delivery of sensitive documents
  • Account reconcilement/General Bookeeping
  • Supply Management
  • Timekeeping Maintenance for division
  • Maintaining Executive’s calendar
  • Managing travel arrangements for executive
  • Providing administrative support to all executives in division as needed
  • General Office functions including: answering phones, serving as receptionist, typing, filing, retrieving mail, etc.
  • Adhoc duties as necessary

 

QUALIFICATIONS
  • 2-5 years experience reporting to executives
  • 2 years Business or Secretarial School a plus
  • Excellent Verbal and Written communication skills
  • Proficient in MS Office
  • Must be able to handle multiple tasks
  • Must display excellent time management skills
