Job Summary:

The Division Coordinator is responsible for supporting the business activities of key divisions/pyramids. This position provides a strong, strategic partnership with senior leaders to improve day to day efficiency and act as a communication liaison. The Division Coordinator has responsibility for complex and confidential administrative assignments and providing support to an entire function of the organization. This position requires a very high degree of professionalism and discretion, as well as the ability to be organized, detail-oriented and manage multiple priorities. 

The duties and functions will require confidentiality, team work, initiative, sound decision-making, independent judgment and the ability to escalate serious or unique problems to higher levels. This candidate must be driven by high customer service and making a substantial and valuable impact to the organization.
 
Job Duties:

Provide comprehensive support and professional business skills to anticipate the division/pyramid’s needs and successfully coordinate and execute daily business activities. Assists leaders with a variety of complex duties involving contact and exposure to proprietary information. 

• Provides administrative partnership for the entire division, as well as working cross-functionally with all organizations in a professional, customer focused manner.
• Collects and prepares information for use in discussions/meetings. May involve preparing highquality, executive level PowerPoint presentations, Word documents and/or Excel spreadsheets.
• Maintains appointment schedules and coordinates meetings including conference calls. Proactively monitors email inboxes, as requested. Arranges travel and hotel reservations as requested. Assembles information and prepares materials including itineraries. Accurately prepares expense statements. 
• Undertakes projects with direction such as preparation of correspondence, reports, presentations, etc. Offers ideas for executive and team improvement and best practices when required or as appropriate.
• Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. 
• Maintains and prioritizes daily action items for personal follow up and management. Assists and relieves the executives of a variety of complex administrative duties involving contact and exposure to proprietary information.  • Determines when to act for the executives and when to refer problems for personal attention. Handles details of a highly confidential and critical nature including human resource data, budget, forecasts, etc. 
• Uses initiative to prepare responses and to assemble background information from many sources. Follows up to ensure that proper and timely action is taken.  • Coordinates team events (planning, logistics, attendee confirmations, etc.) as requested. Monitors event spend to budget if required/requested. Manages event requests, invoices, and related paperwork as necessary. 
• Represents division/pyramid as main point of contact externally and internally.
 
Job Requirements:

• Strong technical competency, specifically advanced skills in MS Outlook, Word, Excel, and PowerPoint
• Highly customer service oriented with superb interpersonal skills 
• High degree of professionalism
• Superior oral and written communication skills
• Excellent organizational skills • Ability to multi-task and shift priorities as needed
• Foresight to anticipate questions/issues, and attention to detail 
• Ability to have tact and good judgment in confidential situations and proven experience interacting with senior management
• Strategic agility and decision-making abilities; with a problem-solving mindset
• Self-motivated and ability to work independently with minimal supervision 
• 5 – 10 years of previous experience supporting multiple executives
